We partnered with a global talent firm serving the US and UK accounting markets. Following a period of rapid expansion to over 1,000 consultants and a 100-person internal team, their operational maturity began to lag behind their commercial success.
The immediate symptom was a frustrated finance team dealing with a slow invoicing cycle. While the firm believed the answer lay in purchasing a new accounting platform, our analysis proved otherwise.
We demonstrated that the issue was not the technology itself — but the processes feeding into it.
The core issue was efficiency. The finance team faced a two-week delay in processing invoices, which created friction and slowed down cash flow. The firm's initial instinct was that their current accounting software was no longer fit for purpose.
However, the complexity lay in the lack of consistency upstream. Sales teams were generating Statements of Work (SOWs) on PandaDoc with varying rate structures — daily rates, hourly rates, and retainer fees. This data was trapped in a format that could not be easily exported, forcing the finance team to manually reconcile SOWs against submitted timesheets. This manual intervention was slow and prone to error.
Rather than beginning a new software implementation, we proposed to map the entire invoicing journey. We identified that the bottleneck started with how deals were structured. We worked with both Finance and Sales teams to standardise the SOW process, ensuring client rates were consistent and captured in a format that finance could access immediately.
We also implemented business logic to systematise timesheet approvals, removing the need for manual checks. By optimising the process rather than replacing the platform, we fixed the root cause of the delay.
